Administrative support for equestrian professionals

You train. We handle the rest.

Trainer Office Solutions gives equestrian professionals the administrative support of an in‑house office—without the overhead of another employee. From entries and travel to scheduling, paperwork and day‑to‑day organization, we handle the details behind your business so you can stay focused on your horses and clients.

Remote support for trainers, barn managers and riding programs. No payroll, no desk, no onboarding headaches.

What we handle

Everything that happens at a desk, so you don't have to.

You didn't get into horses to chase entry deadlines and hotel confirmations. We take the office work off your plate and keep it running on a predictable rhythm.

Show entries & show office

Entries in on time, every time—with stalls, add-ons and changes handled.

  • Prize list tracking and closing dates
  • Entries, stalls, tack rooms, shavings
  • Adds, scratches and splits during the show
  • Show-office billing reconciled

Travel & logistics

Horses, people and equipment arrive where they need to be.

  • Hauling and shipping coordination
  • Hotels, flights and rental cars
  • Health papers and travel documents
  • EquiTrace uploading and managing
  • Packing lists and show-week timelines

Paperwork & compliance

Memberships, recordings and records kept current before they become a problem.

  • USEF, USHJA and local association renewals
  • Horse recordings, measurement cards, microchips
  • Coggins, vaccination and health records
  • Managing lessor and lessee paperwork

Day‑to‑day organization

The steady, unglamorous work that keeps a barn running smoothly.

  • Client invoicing and payment follow-up
  • Expense tracking for show and travel
  • Vendor and supplier coordination
  • Inbox and phone triage

Special projects

When something bigger lands on your desk, we can take it.

  • Year-end points and awards paperwork
  • Sales and lease documentation
  • Clinic and schooling-show organization
  • Setting up systems for a growing program

How it works

Simple to start. Built to keep running.

Most trainers are up and running within a week of the first call.

Intro call

A short conversation about your program, your show schedule and where the office work is piling up. No obligation.

Onboarding

We gather horse and client details, memberships, recurring appointments and the accounts we'll work from—then set up a shared calendar and checklist so you can see everything.

Weekly rhythm

A standing check-in, a running list of what's been handled and what's coming, and a single text or call when something needs your decision.

Who it's for

Professionals who are busy being professionals.

If your office is the truck console and a stack of prize lists, we should talk.

  • Hunter/jumper and equitation trainersHeavy show calendars, lots of entries, lots of moving parts.
  • Barn managers and assistant trainersRunning the day-to-day and needing a second set of hands on the admin.
  • Sales barns and breeding operationsContracts, records, travel and buyers who expect quick answers.
  • Riding programs and small operationsNot ready for an employee, ready to stop doing everything yourself.

Ways to work together

Support that fits your season.

Monthly retainer

Ongoing office support

A set number of hours each month covering entries, scheduling, paperwork and invoicing. The closest thing to having someone in the office—without the payroll.

Show season

Circuit & show-week support

Entries, stalls, travel and show-office billing for a specific circuit or run of shows. Ideal for winter circuits and busy summer stretches.

Project

One-time projects

Year-end paperwork, a membership clean-up, a sales package, or getting your calendar and records organized for the first time.

Monthly support starts at $350 and goes from there, based on the size of your program and your show schedule. We’ll quote a firm number after the intro call.

About

Meet Kacie.

For more than 10 years, I’ve been an active professional in the show jumping industry, with over 20 years of hands-on horse show experience across several different disciplines. Having been involved in nearly every aspect of the show world, I understand just how much organization, communication, and attention to detail goes on behind the scenes.

I created Trainer Office Solutions to provide trainers and professionals with peace of mind, knowing the administrative and organizational details are being handled by someone reliable and experienced. My goal is to take care of the behind-the-scenes work so trainers can spend more time doing what they do best: training, riding, and showing.

Every client works directly with me, so nothing gets lost between “the office” and the barn aisle.

I’m based in Las Vegas, Nevada and work with trainers across the country, mostly remotely—and I’m always happy to meet in person when we’re at the same shows.
